You sold something on Vinted or Depop, and the buyer writes: "Could you send me an invoice, please?" This happens more often than you think, especially with shops, studios and people who need it for their taxes.

Here is how to write an invoice, step by step, with two examples you can copy.

Do you need an invoice for Vinted sales at all?

  • Sold privately: No. You do not have to write an invoice.
  • Sold as a business: Yes, you should be able to write invoices, especially when your buyer wants one.

There is no fixed line between "private" and "business". If you buy on purpose to resell for a profit and do it regularly, you usually sell as a business. If you are unsure, ask a tax advisor (Steuerberater).

What must be on the invoice?

For an invoice to be valid, it needs these details:

  1. Your name and address
  2. The buyer's name and address
  3. Your tax number (or VAT ID)
  4. An invoice number that is used only once
  5. The invoice date
  6. The delivery date, meaning when the item was sent
  7. What you sold, in plain words
  8. The amount
  9. The right VAT note (see the examples)

Example 1: Kleinunternehmer (no VAT)

As a Kleinunternehmer this is the simplest case.

Example 2: With VAT (19%)

If you charge VAT, net, tax and gross are shown separately:

The principle: the final price is €45, and €7.18 of that is tax.

The invoice number

The number only has to do one thing: be unique. Many people use the year and a counter, for example 2026-001, 2026-002 and so on. Just do not reuse a number, and do not leave gaps you cannot explain.

Small amounts: it can be simpler

For amounts up to €250, a Kleinbetragsrechnung is enough. It needs your name and address, the date, the description of the item and the amount. That fits many Vinted and Depop sales. Still, use the standard invoice when a business customer needs it.

Common mistakes

  • No invoice number, or the same number twice.
  • The §19 note is missing, although you are a Kleinunternehmer. Then it looks like you forgot the tax.
  • VAT shown although you may not charge it. This can cause trouble, because you may then owe it to the tax office.
  • The delivery date is missing.
  • The wrong tax number, or none at all.

How do you send the invoice?
